Trip Terms & Conditions
At Api Saipal Great Himalayan Treks, we are dedicated to providing the highest level of service to ensure our clients have safe and memorable experiences in Nepal. As a government-registered company, our primary goal is to deliver exceptional quality to our valued customers. Please take a moment to carefully review the following terms and conditions before booking your trip with us.
By booking a trip with Api Saipal Great Himalayan Treks, you agree to the following terms and conditions:
1. Travel Documents
It is your responsibility to obtain all necessary travel documents, including passport photocopies, visa copies, and passport-size photographs, prior to your trip. While we will provide information and guidance, we cannot be held liable for any issues arising from the failure to secure these documents.
2. Trip Confirmation
To confirm your trip, we require the following:
- Completed Booking Form: Please submit our trip booking form, indicating the trip’s start date.
- Passport Copy: Provide a clear copy of your passport, which must be valid for at least six months from the trip date, along with a passport-size photograph.
- Travel Insurance: Submit a copy of your travel insurance policy covering medical emergencies, evacuation, and trip cancellations.
- Flight Details: Share your flight itinerary, including arrival and departure dates and flight numbers.
- Payment: A 25% deposit of the total trip cost is required for confirmation. The remaining balance is due 10 days before the trip or upon your arrival at our office.
Upon receipt of the necessary documents and deposit, we will send you a confirmation email detailing your trip.
3. Liability
While we strive to provide a safe and comfortable journey, we cannot be held responsible for any injury, loss, or damage to personal property. We reserve the right to cancel a trip if deemed necessary for the safety of our clients.
4. Booking Conditions
- The 25% deposit is non-refundable; however, it can be applied toward another trip within one year from the payment date.
- The remaining balance will be due upon your arrival.
- Last-minute bookings are accepted, but we recommend booking at least two weeks prior to departure.
5. Payment Methods
We accept payments via wire transfers, online payment gateways, and major credit cards. Please note that a 4% surcharge applies to credit card transactions, and all transaction fees are the client’s responsibility.
6. Itinerary Changes
We reserve the right to alter itineraries due to unforeseen circumstances such as weather conditions, political instability, or transportation issues. In such cases, we will provide alternative arrangements of equal or greater value. If you wish to request changes to the itinerary, please notify us in writing at least 30 days before departure. While we will make every effort to accommodate your requests, we cannot guarantee them.
7. Risks and Liabilities
Api Saipal Great Himalayan Treks adheres to all regulations set by the Nepal Tourism Board. In the event of unforeseen circumstances—such as legal changes, natural disasters, or political unrest—that may result in flight cancellations or delays, we are not responsible for any additional costs incurred by the client. Travel insurance is strongly recommended. No refunds will be issued in case a client violates local laws and is required to leave Nepal.
8. Cancellation Policy
- The 25% deposit is non-refundable. We encourage clients to consider postponing their trip rather than canceling it outright.
- If a client cancels mid-trip for personal reasons, the full trip cost will be non-refundable.
- Should we need to cancel a tour due to natural disasters, war, or severe weather conditions, we will offer an alternative tour option.
9. Travel Insurance
We highly recommend purchasing travel insurance prior to your trip. The policy should cover medical emergencies, evacuation, trip cancellations, and lost luggage. We suggest World Nomads for comprehensive coverage.
10. Health and Fitness
Participants must be in good health and physical condition. Any pre-existing medical conditions must be disclosed prior to booking. We reserve the right to request a doctor’s certificate before departure.
11. Flight Delays or Cancellations
Regions such as Everest, Annapurna, Dolpo, Simikot, and Jumla are susceptible to flight delays or cancellations due to adverse weather conditions. We advise that you budget extra funds for potential additional expenses related to food and accommodation during such delays. Api Saipal Great Himalayan Treks is not liable for any costs arising from flight cancellations.
12. Governing Law
These terms are governed by the laws of Nepal, and any disputes will fall under the exclusive jurisdiction of Nepalese courts.
13. Third-Party Bookings
These terms and conditions apply solely to bookings made directly with us. For reservations made through international agents or third parties, their respective terms and conditions shall apply.
